What we keep, and what we don't.

Plain English on the data we hold, what we do with it, and your rights under UK GDPR.

1 · Who we are

Vesper Studios is the trading name of an Essex-based wedding photography and videography sole trader. We are the data controller for any personal data you give us. Contact: hello@vesperstudios.co.uk.

2 · What we collect

  • Enquiry data — name, email, phone (optional), wedding date, venue, and anything you tell us in the enquiry form.
  • Booking data — billing address, payment record (the payment itself goes through our payment processor — we don't store card numbers).
  • Portal account data — email address and an authentication session, handled by our auth provider Clerk (see section 4).
  • Wedding-day data — the photographs and films we make for you, plus a short shot-list we agree before the day.
  • Analytics — basic page-view counts (no cross-site tracking, no advertising cookies).

3 · How we use it

To deliver the work you've booked, to talk to you about the wedding, to send the final photographs and films, and to keep records HMRC requires us to keep. Nothing else.

We do not sell your data, ever. We do not share it with marketers. We do not profile you.

4 · The customer portal & Clerk

Our portal is the place we deliver your photographs and films. Authentication is handled by Clerk (Clerk Inc.), a third-party auth provider. When you sign in, Clerk processes your email address and a session cookie to keep you logged in. Clerk's privacy policy is at clerk.com/privacy.

We do not store your password. Clerk handles authentication; if you choose magic-link sign-in, the link is sent and verified by Clerk.

5 · Photographs & films

By booking us, you agree we may make and edit photographs and films of your wedding. We retain copyright; you receive a personal-use licence (see booking terms).

We hold delivered work indefinitely so you can come back for re-orders. If you'd like specific images removed from our backups, ask and we'll do it.

We may share a small selection of your wedding on our portfolio (website, social) unless you ask us not to. We always check with you before publishing close-up portraits of identifiable guests other than the couple.

6 · Who else sees your data

  • Clerk — authentication for the portal.
  • Our payment processor — processes deposits and balance payments.
  • Email provider — sends booking confirmations and delivery emails.
  • HMRC — for accounting records we are legally required to keep.

That's it. No marketers, no data brokers, no analytics providers that track you across the web.

7 · Cookies

The marketing pages on this site set no cookies. The customer portal sets cookies set by Clerk to keep you signed in. That's the only cookie usage on the site.

8 · How long we keep things

  • Enquiry data we didn't end up working with: 12 months, then deleted.
  • Booking records and tax records: 7 years (HMRC requirement).
  • Delivered photographs and films: indefinitely, unless you ask us to remove them.
  • Portal account: until you ask us to close it.

9 · Your rights

Under UK GDPR you have the right to: see what data we hold about you, correct it, delete it (subject to legal retention requirements), object to processing, and request a copy of your data in portable form. Email hello@vesperstudios.co.uk and we'll respond within 30 days.

You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk if you think we've handled your data badly.
